The JupiterMeet integration is designed to enable instant video communication between clients and staff directly within Perfex CRM. The workflow ensures that meeting requests are handled in real time while keeping both parties informed at every stage.

1. Client Requests a Meeting

From the client area, the user clicks the Request a Call button to initiate a video meeting request.
The request is immediately sent to the Perfex CRM system.

2. Admin and Staff Accepts or Ignores the Request

Based on the notification settings configured by the administrator, eligible staff members receive a real-time notification of the incoming meeting request.

A staff member can either:

• Accept the meeting request to start the video call, or
• Ignore the request if they are unavailable.

Once accepted, the meeting is locked to that staff member to avoid conflicts.

3. Client Cancels the Request

While the meeting request is pending, the client can cancel the request at any time before it is accepted by a staff member.

If the client cancels the request:

• The request is immediately removed from the staff notification panel
• No meeting link is generated
• The workflow ends without starting a meeting

4. Meeting Starts

When the request is accepted:

• The staff member is redirected to the video meeting
• The client’s interface automatically updates to show the Join Meeting option

The meeting can open either in a new tab or inside the current page (iframe), depending on the configured settings.

5. Meeting Completion

After the meeting ends:

• The request is marked as completed
• The call entry is removed from the active requests list
• The system becomes ready for the next meeting request

6. Automatic Expiry

If a meeting request is not accepted within the configured expiry duration, it is automatically cancelled to keep the system clean and responsive.
